Quick Start: Managers
As a manager, Qubi gives you visibility into every customer conversation your team is having without sitting in on every call. This guide will get you set up and reviewing your first calls in minutes.
Step 1: Sign In and Set Up Your Profile
- Go to app.getqubi.com and sign in with your work email
- Complete your profile with your name, role, and timezone
If your admin has set up teams, you'll automatically see your direct reports' meetings and analytics.
Step 2: Connect Your Calendar
Even as a manager, connecting your calendar helps Qubi:
- Record your own customer calls and 1:1s
- Show you meeting prep before your calls
- Give you a complete view of your team's schedule
- Go to Settings → Calendar
- Connect your Google or Microsoft calendar
Step 3: Connect Your Zoom Account
If your team uses Zoom, each user (including you) needs to link their personal Zoom account.
- Go to Settings → Recording
- Click Connect Zoom and authorize Qubi
- Zoom will ask you to grant an On-Behalf-Of (OBF) token, which lets the Qubi bot join meetings as your authorized assistant. This is required by Zoom for any app that joins calls on a user's behalf. See the full Zoom setup guide for details.
Make sure your team members have also connected their Zoom accounts. Without it, Qubi can't join their meetings.
Step 4: Set Your Preferences
- Go to Settings → Preferences
- Configure:
- Call Summary Emails: get notified when your meeting report is ready
- Meeting Prep Emails: receive preparation notes before upcoming meetings
- Auto-invite Bot: automatically invite Qubi to all your meetings
- Timezone: set your timezone for meeting times and scheduling
Step 5: Explore Your Team's Meetings
Once your team is connected to Qubi, you can review their calls:
- Go to the Meetings page
- Use the filters to view your team's meetings
- Click on any meeting to see:
- Full transcript with speaker labels
- AI-generated summary and action items
- Key moments and highlighted quotes
You don't need to listen to entire calls. Start with the AI summary to quickly understand what happened, then dive into specific moments that need your attention.
Step 6: Review Team Analytics
Get a data-driven view of your team's performance:
- Go to Analytics
- See team-wide and individual metrics:
- Talk-to-listen ratio: Are your reps asking enough questions?
- Longest monologue: Are they dominating the conversation?
- Question rate: How much discovery is happening?
- Filler word usage: How polished is their delivery?
Use these insights to identify coaching opportunities and track improvement over time.
Step 7: Coach from Real Conversations
The most effective coaching comes from real examples. With Qubi:
- Find a call that has a coaching opportunity
- Highlight the specific moment in the transcript
- Add your comments or feedback
- Share it with the rep directly or save it to a coaching playlist
Step 8: Monitor Your Deals
Stay on top of your team's pipeline:
- Go to the Deals view
- See all active deals with AI-powered health indicators
- Click into any deal to see:
- All related conversations
- Key stakeholders and their engagement
- Risk signals (gone quiet, competitor mentioned, objections raised)
- Recommended next steps
